Step 1: Log in to Your RingCentral Account

  1. Open your web browser and go to the RingCentral login page.
  2. Enter your login credentials (username and password) and click "Sign In."

Step 2: Navigate to the Settings

  1. Once logged in, go to the "Admin Portal" or "My Extension" (depending on your account type and permissions).
  2. If you're in the "Admin Portal," select the appropriate extension or user for whom you want to set up call forwarding.

Step 3: Access Call Handling & Forwarding Settings

  1. On the left-hand menu, click on "Phone System."
  2. Select "Auto-Receptionist" if you want to forward calls at the system level, or select "Users" to set up forwarding for individual users.
  3. Click on "Call Handling & Forwarding."

Step 4: Set Up Call Forwarding

  1. In the "Call Handling & Forwarding" section, you will see options to configure forwarding rules.
  2. Under "User Hours" or "After Hours" (depending on when you want the forwarding to apply), you will find options to add forwarding numbers.

Step 5: Add the External Number

  1. Click on "Add Forwarding Number."
  2. Enter the external number you want calls to be forwarded to.
  3. Select the number type (e.g., mobile, home, etc.).
  4. Click "Save" to add the forwarding number.

Step 6: Arrange Forwarding Order

  1. Arrange the forwarding numbers in the order you want them to ring.
  2. You can set the ring duration for each number by clicking the dropdown next to each number and selecting the desired ring time.

Step 7: Confirm and Save

  1. Review the call forwarding rules you’ve set up.
  2. Click "Save" or "Apply" to confirm the changes.

Step 8: Test the Call Forwarding

  1. Make a test call to your business number to ensure that it is being forwarded to the external number you specified.
  2. Verify that the call rings through to the external number correctly.

Additional Tips:

  • Enable Simultaneous Ringing: If you want multiple numbers to ring at the same time, ensure the "Simultaneous" option is selected instead of "Sequential."
  • Voicemail Settings: Make sure your voicemail settings are configured appropriately so that unanswered calls are directed to the correct voicemail box.

By following these steps, you can successfully forward all calls made to your business number to an external number on the RingCentral VoIP platform. If you encounter any issues or need further assistance, RingCentral’s support resources and customer service can provide additional help.

Old Instructions:

  1. View All Phone Numbers on the left

  2. If the main phone number is the number you're trying to port, it won't actually show you what is using that number, so you'll have to guess. I would start with the auto attendant and see if the following steps work.

  3. Go to the object that is using the phone number and create a custom rule.

    1. Name it Mango Forward

    2. Select the phone number(s) you're trying to forward

      1. NOTE - If there are any extra numbers after the phone number, those are extension numbers and you aren't forwarding the phone number, just an extension.

    3. Select Forward to External Number

      1. NOTE - If this isn't an option, then you'll have to forward to a phone extension (doesn't matter) and then create a custom rule in that extension that forwards to the temporary number.

    4. If you are forwarding from an auto attendant, make sure that the initial greeting, call screening, etc. are disabled.
